Birrdi provides several ways to communicate with your customers, whether you want to send a personal message, notify hundreds of customers about an upcoming event, or automatically follow up after reservations.
This guide explains the differences between Messages, Announcements, Triggers, and Welcome Emails, and when to use each one.
1. Messages: Communicate With Individual Customers
Messages allow you to have one-on-one conversations with customers directly inside Birrdi.
Use Messages when you need to:
Answer a customer's question.
Follow up about a reservation.
Provide instructions to a specific customer.
Respond to feedback or concerns.
How to Send a Message
Open Menu → Messages.
Click New Message.
Search for and select your customer.
Write your message or click Generate with AI to help draft it.
Choose whether to send an email notification.
Click Send, then Confirm Send.
Customers receive your message in their Birrdi account under Messages.
If email delivery is enabled, they'll also receive an email containing your message.
Customers can reply through their Birrdi Messages tab.
2. Announcements: Send One Message to Multiple Customers
Announcements allow you to send the same message to a group of customers at once.
Use Announcements to:
Promote upcoming leagues or events.
Advertise membership specials.
Announce holiday hours.
Share facility news.
Notify customers about operational changes.
How to Send an Announcement
Navigate to Customers.
Filter or sort customers to find your intended audience.
Select customers using the checkboxes next to their names.
Click Send Announcement.
Enter an Announcement Title and Message.
Configure Email Delivery and Auto Close.
Click Send Announcement, then Confirm Send.
You can select up to 100 customers per announcement from the Customers page.
If you need to contact more customers, divide them into separate groups and send additional announcements.
Each customer receives their own private conversation, grouped under the announcement's title in your Messages tab.
Tip: Announcements are sent immediately and cannot be scheduled.
3. Triggers: Automatically Send Messages Based on Reservations
Triggers automate customer communications based on reservation activity.
Rather than manually sending individual messages, you configure a trigger once and Birrdi handles the messaging for future qualifying reservations.
There are three trigger types:
Trigger Type | When It's Sent | Example |
Welcome Message | Before a reservation starts | Arrival instructions or parking information |
Thank You Message | After a reservation ends | Thank-you note or Google review request |
Milestone Message | After a specified reservation milestone | Celebrate a customer's 5th or 10th visit |
How to Create a Trigger
Open Menu → Triggers.
Click Add Trigger.
Select your Target Facilities and Target Customers.
Choose your Trigger Type.
Configure when the message should send.
Write your message or use Generate with AI.
Configure Email Delivery and Auto Close.
Click Save.
Birrdi automatically sends messages for qualifying reservations according to your trigger configuration.
Each location can create up to 5 triggers.
Important: Triggers send in-app messages and optional emails, not SMS messages.
4. Membership and League Welcome Emails
Memberships and leagues have their own Welcome Email functionality, separate from reservation-based triggers.
These emails automatically welcome customers when they join a membership or register for a league.
Use them to communicate:
Membership benefits and rules.
How monthly credits work.
League schedules and participation instructions.
Important information for new members or players.
How to Configure a Welcome Email
Open Plans → Memberships or Plans → Leagues.
Select the membership or league.
Find the Welcome Email field.
Write your message or click Generate with AI.
Click Save.
A Welcome Email is required for memberships and leagues.
New customers who register receive the welcome message automatically. When adding members manually, you can choose whether to send it.
Where Do Customers Receive These Messages?
Birrdi messages are available through two channels:
1. Birrdi Messages
Customers can sign in and view their messages at:
2. Email Notifications
When email delivery is enabled, eligible customers receive an email from [email protected] containing your message and a link to view the conversation.
Customers can unsubscribe from your business's message emails at any time. They will continue receiving their messages inside Birrdi.
