Welcome to Birrdi — Your Self-Serve Setup Guide

You’ve unlocked Birrdi 🎉

This guide walks you through exactly what to do next — in the right order — so you can finish setup and start taking bookings.

You do NOT need to complete everything at once. Most facilities can be ready to launch after Steps 1–4.


Step 0 — Confirm Your Facility Setup (Important First Step)

Before configuring pricing or payments, confirm your facility basics are correct. These settings control how customers can book.

Make sure you have:

✔ Simulator bays created
✔ Booking time increments configured correctly (30 or 60 minutes)
✔ Staff or admin accounts added (if needed)


Step 1 — Connect Square (Required To Accept Payments)

If you plan to accept online payments, Square must be connected.


If You Already Have A Square Account

  1. Go to the Birrdi admin:
    👉 https://company.birrdi.com

  2. Click Integrations in the top menu

  3. Square will be selected by default

  4. Click Connect Square

  5. Sign into Square when prompted

  6. Review permissions

  7. Click Allow

You will be redirected back to Birrdi once connected.


If You Do NOT Have A Square Account

Create your Square account using the correct country link:

Square may require identity verification before payments can be processed.

After Square is fully activated, return to Birrdi and connect it using the steps above.


Step 2 — Update Your Rates

You already have a default public rate. This step allows you to fine-tune pricing and availability.

Rates control:

• Hourly pricing
• Availability rules
• Member vs public pricing
• Discounts or special pricing tiers

You can always change rates later.


Step 3 — Configure Payment Behavior (Recommended)

Birrdi supports multiple payment styles. Choosing the right one helps protect your business from cancellations and no-shows.

Most facilities use:

✔ Pre-payment on (Recommended)
✔ Store Card Pay Later (Optional)
✔ Pre-Payment off (Optional)

Store Card Pay Later allows you to securely store customer cards while still allowing flexible billing and cancellation protection. We always recommend pre-payment on. You can adjust these settings anytime.


Step 4 — Set Up Memberships (Optional)

Memberships are optional and can be added after you confirm your public pricing works correctly.

Memberships allow you to:

• Offer discounted pricing
• Provide free hours or credits
• Create recurring revenue programs

Tip: Each membership or punch pass should typically have its own credit plan to define how benefits are applied.


Step 5 — Test Your Booking Flow (Very Important)

Before sharing your booking link publicly, test your customer experience end-to-end.

You should:

✔ Create a test booking
✔ Test payment collection
✔ Test membership pricing (if used)
✔ Test cancellation flow
✔ Confirm staff understands check-in process


Go-Live Checklist

Before launching publicly, confirm:

✔ Square is connected and verified
✔ Rates and pricing are correct
✔ A test booking was completed successfully
✔ Staff understands how to check customers in

Once these are complete, you are ready to share your booking link publicly.


What Most Facilities Launch With

Most Birrdi operators successfully launch using:
✔ Pre payment enabled
✔ One booking link on their website
✔ Memberships added later (optional)

You do NOT need to configure every feature before going live.


Features You Can Add Later

You can expand your setup anytime. These are optional advanced features:

• Credits / free hour programs
• Events and tournaments
• Door access control integrations
• Launch monitor integrations
• Punch passes
• Advanced membership structures
