How to Set Up Memberships in Birrdi

Setting up Memberships correctly ensures customer signups, recurring billing, credits, and account automation all work seamlessly.


Step 1: Navigate to Memberships

From the top navigation, click Plans.

From the left-hand sidebar, click Memberships.

This is where you'll create and manage all of your Membership Plans.


Step 2: Connect Square and Create a Membership

Before creating a Membership, make sure your Square account is connected, as Birrdi uses Square to process Membership payments.

Click Add Membership to begin creating a new Membership.

Note: Your Membership must be saved before you can generate a Membership Sign-Up Link.


Step 3: Configure Your Membership

Complete the Membership by configuring the available options.

Basic Information

  • Name – The name customers will see.

  • Description – Explain the benefits of the Membership.

  • Timezone – Determines when recurring billing occurs.

  • Currency – Select the currency used for billing.


Billing

Auto Charge

Choose whether this Membership is:

  • Yes – A recurring subscription.

  • No – A one-time payment.

Billing Frequency

Choose how often members are billed (Monthly, Every 3 Months, Every 6 Months, Yearly, etc.).

Important: Once a Membership has been created, the billing frequency cannot be changed.

Price

Select the Square Item that represents the Membership price.

Birrdi will charge this item each billing cycle (or once for one-time memberships).


Signup Options

Allow Public Sign Ups

Choose whether customers can purchase this Membership themselves.

  • Yes – Customers can sign up online.

  • No – Staff can assign this Membership internally only.

Allow Pause Membership

Allow members to temporarily pause their Membership.

Accept Gift Cards

Allow customers to use a Square Gift Card for their initial Membership purchase.

Recurring payments will always be charged to the customer's credit card on file.

Accept Promo Codes

Allow customers to apply Promo Codes during signup.

Promo Codes only apply to the Membership price and do not discount any one-time Joining Fee. A Square Item must be linked to the Membership price for Promo Codes to work.

Enable Pre-Sales

Enable this only if your location has not yet opened and you want customers to purchase Memberships before opening day.

Warning: Only enable Pre-Sales if instructed by Birrdi Support.


One-Time Joining Fee (Optional)

If your Membership includes an enrollment fee:

  1. Enable One-Time Joining Fee.

  2. Enter the Joining Fee amount.

  3. Link the appropriate Square Item.

Customers will pay this fee only once when they initially join.


Once you've finished configuring the Membership, click Save.


Step 4: Copy Your Membership Sign-Up Link

After saving your Membership, locate it in the Membership list.

Click Copy Signup Link.

This generates a unique Birrdi Membership Sign-Up Link that automatically:

  • Creates the customer's Membership.

  • Associates the Membership with their Birrdi account.

  • Enables recurring billing and automation.

  • Ensures credits and Member pricing work correctly.

Important: Always use the Birrdi Membership Sign-Up Link when selling Memberships.


Step 5: Add the Membership to Your Website

Add your Birrdi Membership Sign-Up Link anywhere customers can purchase Memberships, such as:

  • Membership page

  • Pricing page

  • Join Now button

  • Homepage

Before going live, complete a test Membership purchase to verify:

  • The Membership is created successfully.

  • The customer account is linked correctly.

  • Recurring billing is configured.

  • Credits and Membership automation function as expected.


Common Setup Mistakes

Using the Wrong Link

Always use Copy Signup Link from the Membership.

Do not link customers directly to a Square Item or Square Checkout page.

Doing so prevents Birrdi from automatically associating the Membership with the customer's account.


Forgetting to Link Square Items

Membership prices and optional Joining Fees should always be linked to their corresponding Square Items.

Without this connection, payments cannot be processed correctly.


Making the Membership Internal by Accident

If customers cannot see the Membership online, verify that Allow Public Sign Ups is set to Yes.


Incorrect Website Placement

Place the Membership Sign-Up Link somewhere customers can easily find it, such as your Membership or Pricing page.

Avoid hiding the link deep within your website, as this can reduce signups and create confusion.


Following these best practices ensures Memberships are configured correctly and that Birrdi can fully automate customer enrollment, billing, and account management.
