Rate Setup Guide (Field-by-Field)

Rates determine how much customers pay, when the rate is available, and who can see or use it.

Below is a complete explanation of every field in the Rate setup screen.


Name

The internal and customer-facing name of the rate.

Examples:

  • “Public”

  • “Players Pass”

  • “Eagle Member”

  • “Gold Member”

Choose a name that clearly explains:

  • When it applies

  • Who it’s for (if applicable)


Time Range

Defines what time of day this rate is available.

Examples:

  • All Day

  • 8:00am – 12:00pm

  • 5:00pm – 10:00pm

Use this to create:

  • Morning discounts

  • Peak pricing

  • Late night specials


Date Range

Defines when this rate is active during the year.

Examples:

  • All Year

  • June 1 – August 31 (Summer)

  • November 15 – March 15 (Winter season)

Use this for:

  • Seasonal pricing

  • Temporary promotions

  • Event-specific pricing windows


Memberships

Restricts this rate to specific membership plans.

⚠ Important:
This should only be used for member-only rates, not public rates.

If assigned:

  • Only customers with that membership can see or book this rate.

If left blank:

  • The rate is public (unless marked staff-only).


Punch Passes

Allows customers to use punch passes (prepaid session credits) toward this rate.

Use this for:

  • Prepaid simulator sessions

  • Credit-based packages

If not assigned:

  • Punch passes cannot be applied to this rate.


Allow Credits

Allows membership credits or punch pass credits to be used toward this rate.

To use this feature:

  • You must assign either a membership plan or punch pass.


Allow PIN Code via SMS

Controls whether Birrdi can send an automatic PIN code text message when this rate is used.

Only applies if:

  • You have a lock integration configured.

Enable this if:

  • Customers should receive an automated door PIN after booking.


Rate

The actual price customers will pay.

Important notes:

  • This is the final price shown to customers.

  • This is the 15, 30, or 60 minute rate

Linking to Square

If you use Square:

  • Click Link Square Item

  • Select the matching item in Square.

⚠ Important:
If not connected to Square, promo codes, loyalty, and gift cards may not function properly.


Slashed Rate

Optional.

This allows you to show a higher “original” price with the current rate displayed as discounted.

Example:

  • Slashed Rate: $30.00

  • Rate: $20.00
    Customer sees: $30 → $20

Use this for:

  • Promotions

  • Limited-time sales

  • Visual pricing incentives


Secret Rate

Marks this rate as private.

If enabled:

  • Only members assigned to it can see it.

  • Public customers will not see it.

Use this for:

  • Private partner rates

  • VIP access


Staff Only Rate

Makes this rate visible to staff only.

If enabled:

  • Customers will never see it.

  • Staff can use it for:

    • Walk-ins

    • Phone reservations

    • Adjusted/manual pricing

This is ideal for:

  • Higher walk in prices than online prices


Bay Behavior

Controls which bays this rate applies to.

Examples:

  • All Bays

  • Specific Bays Only

Use this if:

  • Some bays have premium pricing


Restrict Booking in Advance

Limits how far ahead this rate can be booked.

Example:

  • Max 7 days in advance

  • Max 30 days in advance

Use this for:

  • Short-term booking windows

  • Protecting prime inventory


💡 Common Use Cases

1. Member-Only Discount

  • Assign Membership

  • Enable Allow Credits


2. Summer Special

  • Set Date Range (Summer months)

  • Set Time Range (if needed)

  • Add Slashed Rate for visual promotion


3. Staff Walk-In Rate

  • Enable Staff Only

  • Do not assign memberships


4. Lesson Punch Pass

  • Assign Punch Pass

  • Enable Allow Credits


⚠ Important Notes

  • Deleting Square items linked to a rate may cause receipt issues.

  • Changing Square pricing does NOT automatically update Birrdi — reconnect and re-save the rate.
