Birrdi automatically sends text messages to customers around their reservations. These messages can include:
Bay assignment
Door PIN code
One-hour reservation reminder
How-To instructions
A 15-minute reminder before their reservation ends
The timing of some messages can be configured, while others are always sent at a fixed time.
Can I Customize the SMS Wording?
No. The wording of Birrdi's automated SMS messages is fixed and cannot be edited.
This is intentional. Messages are kept short and consistent so they:
Fit within a single SMS segment whenever possible
Remain deliverable across different mobile carriers
Keep messaging costs predictable
The customizable part of these messages is your How-To Instructions Link. This can point customers to a YouTube video or a page on your website with your own instructions and branding.
Bay Assignment
Customers may receive:
Welcome to {Facility Name} - {Bay}
This message is used when Birrdi is not sending a door PIN code with the reservation.
For example:
The booked rate has PIN code texting turned off
Your facility does not use a Birrdi-managed door lock
If you have created custom names for your bays, the custom bay name will appear in the message.
When is it sent?
The timing is controlled by your Send SMS Minutes Before Start setting.
For example, if you configure this setting to:
5 minutes — the message is sent 5 minutes before the reservation starts
10 minutes — the message is sent 10 minutes before the reservation starts
No SMS — the message is not sent
Each reservation receives the message only once.
Bay Assignment + Door PIN Code
When a door PIN code is available, the customer may receive:
Welcome to {Facility Name} - door pin code: {PIN} {Bay}
The wording is the same regardless of where the PIN code comes from, including:
A PIN generated by a smart lock
Your manual PIN code list
Your fallback PIN
Your disaster-recovery PIN
When is it sent?
This message also follows your Send SMS Minutes Before Start setting.
For example, if the setting is configured for 10 minutes, the customer receives their bay assignment and PIN code approximately 10 minutes before their reservation begins.
One-Hour Reservation Reminder
Customers receive:
Reminder: Your reservation starts in 1 hour. We look forward to seeing you!
If you have configured a Check-in Confirmation Link, the message becomes:
Reminder: Your reservation starts in 1 hour. View check-in details here: {your link}
When is it sent?
This message is always sent 1 hour before the reservation start time.
The timing is fixed and cannot be changed.
Last-Minute Reservations
If a customer makes a reservation less than one hour before it begins, there is no longer enough time for the normal one-hour reminder.
If you have a Check-in Confirmation Link configured, Birrdi sends the check-in information immediately instead.
Check-in Details
For qualifying last-minute reservations, customers may receive:
View check-in details here: {your link}
This message is only sent if you have configured a Check-in Confirmation Link.
15-Minute Reservation End Reminder
Customers may receive:
Your reservation is almost over. Extend now: {link}
The link opens the booking page with a 30-minute extension ready to reserve, allowing the customer to add more time directly from their phone.
When is it sent?
This message is always sent 15 minutes before the reservation ends.
The timing is fixed and cannot be changed.
SMS Timing at a Glance
Bay assignment / PIN code: Based on your Send SMS Minutes Before Start setting, such as 5 or 10 minutes before start
Reservation reminder: Always 1 hour before start
Last-minute check-in details: Sent immediately when applicable
Reservation almost over: Always 15 minutes before end
Adding Your Own Check-in Video or Page
You can use the How-To Instructions Link in your simulator settings to provide customers with additional instructions.
The link can point to any URL.
Common examples include:
A short YouTube check-in video
Door-entry instructions
Parking information
Directions for finding their bay
Instructions for starting the simulator
House rules
A check-in page on your website
Birrdi automatically shortens the URL when it is included in the text message so the link does not unnecessarily increase the message length.
If you leave the Check-in Confirmation Link blank, customers receive the standard one-hour reminder without a link.
Good to Know
Messages Are Sent Once
Birrdi tracks which automated messages have already been sent for each reservation so the same message is not repeatedly sent.
SMS Email Backup
If disaster-recovery SMS email is enabled, important reservation information such as bay assignments, PIN codes, and extension details can also be sent by email.
This provides an additional backup in case of mobile carrier delays or SMS delivery issues.
Audit Logging
SMS activity is recorded in your Birrdi audit log along with the associated customer.
Custom Bay Names
If you have renamed your bays or simulators, those custom names are used in the applicable text messages.
