Reservation Settings Configuration
This guide explains each setting on the Reservation Configuration page. These settings control how your bays operate, when reminders are sent, and how customers interact with the booking system.

Contact Us Page Link
The URL your customers can use to reach out for help or support.
How-To Instructions Link
This link will be included in the reminder SMS sent 1 hour before the reservation. Use it to share instructions with customers—such as how to check in, use the facility, or follow any setup steps.
Bay Setup
Number of Bays
The total number of bays available for reservations. Enter the number that reflects your facility.
Time Intervals
Defines how time slots are divided. Must be set to 15, 30, or 60 minutes.
Reservation Timing Rules
Reservation Cutoff Time
Sets the latest possible time a reservation can be made before the reservation start time. For example, if set to "5 minutes in advance," customers cannot book within 5 minutes of the reservation start.
Bay Number & Pin Code Before Start Time SMS Notification
Sets when to send an SMS with the bay assignment and pin code. This is usually sent a few minutes before the reservation starts.
Important: SMS Changes Do Not Apply to Existing Reservations
Any updates you make to your SMS settings will only apply to new reservations created after the change is made.
Changes are not retroactive.
Example:
If you originally had no SMS notifications enabled and you already had 3 existing reservations, then you update your settings to send an SMS 5 minutes before the reservation start time with the bay number and PIN code:
Those 3 existing reservations will not receive the SMS.
Only new reservations created after the update will follow the new SMS rule.
This is expected behavior across all Birrdi SMS settings.
SMS Reminders
Reminder Before Start Time SMS Notification
Specifies how far in advance an SMS reminder should be sent before the reservation begins.
Reminder Before End Time SMS Notification
Specifies how far before the reservation ends that an SMS should be sent. Useful for reminding customers when time is nearly up.
Reservation Length
Minimum Reservation Time Length
The shortest duration a customer can book.
Maximum Reservation Time Length
The longest duration a customer can book. A typical recommendation is 5 hours.
Reservation Time Increments
Determines the step size customers can select when choosing a duration—30 or 60 minutes.
Remote Lock Settings (if using lock integration)
Remote Lock Fallback PIN Code
A static backup PIN code in case the system cannot generate a dynamic one. This code must already exist in your Remote Lock account.
Remote Lock Disaster Recovery PIN Code
Used only during a major Remote Lock outage. Leave this blank unless you’re instructed otherwise. If filled, this code overrides all others.
Remote Lock PIN Code Prefix
Optional character or number to prepend to all dynamically generated PIN codes. For example, prefix "4" + code "5678" becomes "45678".
Remote Lock PIN Code Postfix
Optional character or number to append to all dynamically generated PIN codes. For example, code "4567" + postfix "8" becomes "45678".
Custom Bay Names
You can rename your bays to make the booking process easier for customers. Each bay has:
Default Name
The internal system label (e.g., "Bay 1").
Custom Name
The name shown to customers during checkout (e.g., "Bay 1 - Left/Right" or "Bay 8 - Private").
Reservation Window
Restrict Reservation Window
Defines how far in advance customers can make reservations (e.g., up to 1 year in advance).
Notification Emails
Emails
A list of email addresses to notify when a customer makes a reservation.
Pre Payment Options
Pre Payment On (Credits, Redeeming Loyalty Points, and Promo Codes will work)Or:
Pre Payment Off (Use Store Card Pay Later)
What it means:
This setting determines whether customers are required to pre-pay at the time of booking.
When Pre Payment is ON: Customers must pay at checkout. They can use credits, loyalty points, or promo codes.
When Pre Payment is OFF or using Store Card Pay Later: Customers can place a reservation without paying immediately. However, credits, loyalty points, and promo codes will not be available.
Enforce Card for $0 Total
Yes – Require card even if total is $0No – Allow $0 total without card (for example, a $0 member rate)
What it means:
This setting controls whether a valid payment method is required for $0 reservations.
If set to No: Customers can complete a booking with a $0 total without entering card details.
If set to Yes: Even if the total is $0 (e.g., due to credits or a $0 member rate), a card must still be added in case the applied discount fails.
