Birrdi does not currently support automatically upgrading, downgrading, or moving an existing member from one membership plan to another.
If a member needs to change plans, the existing membership must be canceled and the member must then be added to the new membership.
Charging an Upgrade Difference
If you want to charge a member the difference between their current plan and their new plan, calculate the amount owed and charge it manually through Square.
For example:
Current Standard Membership
$200/month
$300 one-time join fee
New Unlimited Membership
$350/month
$650 one-time join fee
If the member has already paid their current month's membership and original join fee, the upgrade amount would be:
Monthly price difference: $350 − $200 = $150
Join fee difference: $650 − $300 = $350
Total upgrade charge: $500
Charge the $500 upgrade amount manually in Square.
Move the Member to the New Plan
After collecting any amount due:
Cancel the member's existing membership in Birrdi.
Add the member to the new membership from the Birrdi Admin.
Set the member's Next Billing Date based on when they should next be automatically charged.
Going forward, Birrdi will charge the normal price of the new membership on that billing date.
If You Charge the Member Manually Today
If you collect their current payment manually through Square, set the Next Billing Date to when their next payment should actually be due.
For example, if you manually charge a $350 monthly membership today, set the Next Billing Date approximately one month from today.
For a three-month, six-month, annual, or other billing period, set the Next Billing Date far enough into the future to account for the period they have already paid for.
This prevents Birrdi from charging the member again too soon.
If You Want Birrdi to Collect the First Payment
The Next Billing Date in Birrdi Admin cannot be set to today's date. It must be a future date.
If you add a member today and want Birrdi to automatically collect their first membership payment, you can set their Next Billing Date to tomorrow.
Birrdi will then attempt to automatically charge the membership price on that date.
For example:
Member is added today
No membership payment is manually collected in Square
Next Billing Date is set to tomorrow
Birrdi attempts to charge the membership price tomorrow
After that payment, the membership will continue according to its normal billing schedule.
Important: First Payments and One-Time Join Fees
When an admin manually adds a member in Birrdi, the Next Billing Date cannot be set to today, but it can be set to a future date such as tomorrow.
If you want Birrdi to collect the member's first membership payment:
Add the member to the membership in Birrdi Admin.
Set their Next Billing Date to tomorrow or another future date.
On that date, Birrdi will automatically attempt to charge the membership payment using the customer's card on file.
This means the member may have access to the membership before the first payment is collected. For example, if you add them today and set the Next Billing Date to tomorrow, they may have membership access for one day before Birrdi attempts the charge.
Alternatively, you can manually collect the first membership payment through Square. If you do this, set the member's Next Billing Date to their next actual renewal date — for example, one month from today for a monthly membership — so Birrdi does not charge them again too soon.
One-time join fees are different. If an admin manually adds the member, Birrdi will not automatically collect the join fee. Any applicable join fee must be charged manually through Square.
Handling Custom Membership Signups
For membership arrangements that cannot be handled through Birrdi's normal customer signup flow:
Determine whether the initial membership payment will be collected manually through Square or automatically through Birrdi.
Manually charge any join fee, upgrade amount, or other custom upfront amount through Square.
Add the member to the appropriate membership in Birrdi Admin.
Set the Next Billing Date appropriately.
If you manually collect the current membership payment in Square, set the Next Billing Date to the member's next actual renewal date.
If you do not collect the membership payment manually and want Birrdi to charge it, set the Next Billing Date to a future date such as tomorrow.
This allows you to handle custom upfront amounts through Square while allowing Birrdi to take over recurring membership billing going forward.
Changing the Member's Phone Number
Memberships are also tied to the customer information used when they were created.
For example, if a wife originally signed up using her phone number but the membership needs to belong to her husband, the existing membership cannot simply be transferred to another phone number.
Cancel the existing membership and add the correct customer to the appropriate membership using their correct information.
Remember
There is currently no direct movement between membership plans in Birrdi.
For upgrades, downgrades, transfers, or other custom membership changes:
Charge any custom amount due in Square → Cancel the existing membership → Add the member to the correct plan → Set the correct Next Billing Date.
The key rule for the Next Billing Date is:
It cannot be set to today.
Set it to tomorrow or another future date if you want Birrdi to collect the membership payment.
If you already charged the membership payment manually in Square, set it to the member's next actual renewal date so they are not charged twice.
