How to Allow Members to Book Further in Advance Than the Public

Learn how to give members priority booking access by allowing them to reserve simulators further in advance than the public. This guide walks through setting the global reservation window and configuring rate-level booking limits

Birrdi allows you to control how far in advance different customer types can book, so members can receive priority access while public users are restricted to a shorter window.

This setup uses two layers:

  1. A global reservation window (applies to everyone)

  2. A rate-level booking restriction (controls public vs member access)

Below is the an example setup for this:

  • Members: up to 14 days (2 weeks) in advance

  • Public: up to 7 days (1 week) in advance


Step 1: Set the Global Reservation Window (Applies to All Customers)

This setting defines the maximum number of weeks out that any customer can ever book.


No rate can exceed this window.

  1. Go to Simulators from the top menu bar

  2. Click the gear icon to open Simulator Settings

  3. Scroll to Restrict Reservation Window

  4. Set this to the maximum number of weeks out you want bookings allowed

    • Example: set to 4 weeks

This ensures the system allows bookings up to 4 weeks in advance at most.


Step 2: Configure Booking Limits on Each Rate (Public vs Member)

Now you’ll control who can book how far in advance.

  1. Go to Rates (click the simulators tab in the top menu bar, then click into your simulator, then click Rates on the left sidebar)

  2. Make sure you are on the correct day of the week

    • (You can save changes across multiple days if needed)

  3. Click the pencil icon to edit a rate

  4. Scroll down to Restrict Booking in Advance

Recommended Settings

  • Public Rate

    • Set Max 7 days in advance

  • Member Rate

    • Set Max 14 days in advance

  1. Save the rate

Result:

  • Members can book up to 14 days ahead

  • Public users are restricted to 7 days ahead

  • Both are still capped by the global reservation window from Step 1


Important Notes

  • The global reservation window is the hard ceiling
    → Rates cannot override it

  • Rate-level limits allow you to reward members with earlier access

  • Always double-check the day of week before saving rate changes


Common Mistakes to Avoid

  • ❌ Setting the global reservation window too low (this will block member access)

  • ❌ Updating rates on the wrong day of the week

  • ❌ Forgetting to set restrictions on both public and member rates
