Cards on File

You can view and manage a customer's saved payment methods by navigating to Customers from the top navigation, opening a customer, and selecting the Cards on File tab.

You can view and manage a customer's saved payment methods by navigating to Customers from the top navigation, opening a customer, and selecting the Cards on File tab.

The Cards on File tab displays the payment cards saved to the customer's Square Customer Profile.

Birrdi does not store credit card information. All payment methods are securely stored and managed by Square.


Viewing Cards on File

  1. Navigate to Customers from the top navigation.

  2. Open the customer whose payment methods you'd like to view.

  3. Select the Cards on File tab.

Note: On mobile devices, this tab is labeled Cards.

Depending on the customer, you'll see one of the following:

  • A list of saved payment cards.

  • No Cards on File — The customer has a Square Customer Profile but has not saved any payment methods.

  • No Square Customer Profile — The customer has not yet been synchronized with Square.


Card Information

Each saved card displays:

  • Card Brand (Visa, Mastercard, American Express, etc.)

  • Last 4 Digits

  • Expiration Date

  • Status (Enabled or Disabled)

Disabled cards cannot be used for future charges.


Adding a Card on File

If the customer already has a Square Customer Profile, you can save a new payment method.

  1. Open the customer's Cards on File tab.

  2. Click Add Card on File.

  3. Enter the payment information using Square's secure payment form.

  4. Click Save Card.

The card is securely stored in the customer's Square Customer Profile for future payments.

Note: The Add Card on File button is only available for customers who already have a Square Customer Profile.


Removing a Card

To remove a saved payment method:

  1. Open the customer's Cards on File tab.

  2. Click the Remove (×) button next to the card.

  3. Click Confirm Remove.

The payment method is immediately removed from the customer's Square Customer Profile.


Viewing the Square Customer Profile

Click View Customer to open the customer's Square Customer Profile.

This displays information including:

  • Square Customer ID

  • Name

  • Email Address

  • Phone Number

  • Date Created

  • Last Updated

  • Source (how the customer was created in Square)

This information comes directly from Square and helps confirm that the customer's records are synchronized correctly.


Common Questions

Why doesn't this customer have a Square Customer Profile?

A Square Customer Profile is typically created the first time a customer is synchronized with Square, saves a payment card, or completes a payment through Square.

If one hasn't been created yet, the Cards on File tab will display No Square Customer Profile.


Does Birrdi store credit card numbers?

No.

Birrdi never stores full payment card information.

All payment methods are securely stored by Square, and Birrdi only displays:

  • Card Brand

  • Last 4 Digits

  • Expiration Date

  • Card Status


What does a Disabled card mean?

A Disabled card can no longer be used for payments.

This may occur because:

  • The card has expired.

  • The card was removed.

  • The issuing bank or card network has disabled the payment method.

To continue charging the customer, simply add a new card to their Square Customer Profile.
