How to Use Custom Events

If you need to block time for anything, tournaments, leagues, parties or maintenance you should be using Custom Events to do so!

Custom Events allow you to block off time on your simulator reservation sheet for leagues, lessons, private events, holidays, or any special situation where normal public booking should not apply.

You can create one-time events or repeating events, and you can control how they appear to customers in the app.


Step 1: Go to the Simulator

Click the Simulators tab on the top menu bar.
Select the simulator where you want to add the Custom Event.


Step 2: Open Custom Events

On the left sidebar, click Custom Events.


Step 3: Create a New Custom Event

  • If this is your first Custom Event, click Add

  • If you’ve created one before, click the Create button in the top right


Step 4: Fill Out the Event Details

Complete all required fields:

  • Name (ex: Junior League, Private Lesson, School Program)

  • Date

  • Start & End Time

  • Simulator(s) / Bay(s)

  • Event Type

  • Repeats (optional)

If you are creating a repeating league or program:

  • Turn on Repeats

  • Select the days it should repeat

  • Set the end date (for example: January through April)

When finished, click SAVE in the top right.


Understanding Custom Event Types

Custom Events can be configured in different ways depending on how you want them to appear to customers.

Hidden

  • Time is blocked off

  • Customers do not see anything on the booking sheet

  • Best for internal use (private lessons, staff holds, internal scheduling)

Blocked

  • Time is blocked off

  • Customers see the time as unavailable

  • Good for leagues, private events, or reserved programs

Open (Advanced Use Case)

  • Overrides your normal rates and availability

  • Used for special days (ex: Thanksgiving, Christmas, holiday pricing)

  • You must create custom rates for this event

  • Please contact your support before using this if you're unsure

Open Custom Events are powerful but require proper setup. They override your standard rate structure during that time range.


Common Use Cases

Weekly League

Every Monday from 4pm–5pm
Bays 1 & 2
Repeats weekly from January–April

Use a repeating Custom Event set to Blocked.


One-Time Private Event

Saturday from 6pm–9pm
All bays

Use a one-off Custom Event set to Blocked or Hidden depending on whether you want customers to see it.


Holiday Custom Pricing

Thanksgiving 9am–6pm
All bays
Special holiday rates

Use an Open Custom Event and create new rates specific to that event.


Why Custom Events Matter

Custom Events give you control over your reservation sheet without changing your entire rate structure. They allow you to:

  • Block off time

  • Run leagues

  • Schedule school programs

  • Host private events

  • Adjust holiday pricing

  • Manage internal scheduling

They are one of the most powerful tools for simulator operators to stay organized and maximize revenue.
