Membership Credits vs. Account Credits

Version 5 introduced Account Credits, which are completely separate from Membership Credits.

Although both can be used to pay for reservations, they come from different places and are managed differently.


Membership Credits

Membership Credits are automatically issued by a customer's membership.

They:

  • Are tied to a specific membership.

  • Renew based on the membership's billing cycle.

  • Are configured through a Credit Plan attached to the membership.

  • Follow the rules configured on the Credit Plan, including expiration and renewal.

If a member receives 2 free hours every month, those are Membership Credits.


Account Credits

Account Credits are manually added by your staff.

They:

  • Are not tied to a membership.

  • Do not renew automatically.

  • Do not require a membership or pack.

  • Remain on the customer's account until they are redeemed or manually removed.

Operators commonly use Account Credits for:

  • Customer service gestures

  • Tournament prizes

  • Giveaways

  • Promotions

  • Manual account adjustments


HOW TO VIEW MEMBERSHIP CREDITS

Step 1: Navigate to Plans.

Step 2: Click Memberships in the left sidebar.

Step 4: Click the Members button.

Step 5: Find the member and click their name.

Step 6: Click the Credits tab.

Here you'll find the member's Membership Credit balance and credit history.


HOW TO VIEW ACCOUNT CREDITS

Step 1: Navigate to Customers.

Step 2: Select the customer.

Step 3: Click the Account Credits tab.

Here you can view, add, or remove Account Credits.


GOOD TO KNOW

  • Membership Credits and Account Credits are completely separate balances.

  • A customer can have Membership Credits, Account Credits, both, or neither.

  • Membership Credits are managed from the Membership.

  • Account Credits are managed from the Customer.

  • Adding or removing Account Credits does not affect Membership Credits.

  • Membership Credits renew according to the customer's membership and Credit Plan.

  • Account Credits only change when someone manually adds or removes them.


COMMON QUESTIONS

My member shows zero Account Credits. Is something wrong?

No. Membership Credits and Account Credits are different. A customer can have Membership Credits without having any Account Credits.

Why don't I see my member's monthly credits under Account Credits?

Because monthly membership credits are Membership Credits, not Account Credits. Membership Credits are viewed from the membership's Members list, while Account Credits are managed from the Customers page.

Can a customer have both Membership Credits and Account Credits?

Yes. A customer can have both at the same time, and each balance is tracked independently.

Which one should I use?

Use Membership Credits when you want recurring credits that are tied to a membership.

Use Account Credits when you want to manually grant credits for promotions, giveaways, tournament prizes, customer service gestures, or other one-time adjustments.
