Punch Passes: Field-by-Field Guide

Updated over a month ago

This article explains every field you’ll see when creating or editing a Punch Pass. Punch passes are one-time purchases that include a set number of credits. They do not auto-renew. When credits are used up, customers can purchase more credits at any given time.

What Is a Punch Pass?

A punch pass is a prepaid bundle of credits (for example, 5 or 10 punches/hours). Each reservation may use one or more credits until the balance reaches zero.

Key differences from memberships:

  • One‑time purchase (no recurring billing)

  • No auto‑renewals

What it is: The internal and customer‑facing name of the punch pass.

Tips:

  • Be explicit about what the customer gets (e.g. 10 Punch Card, 5 Hour Pass).

  • This name is shown during checkout and in the customer’s account.

Description

What it is: Explains what the punch pass includes and how it can be used.

Tips:

  • Clearly state the number of credits and any restrictions.

  • Example: “10 hours for the price of 8. Use anytime during public hours.”

Currency

What it is: The currency used for pricing and billing.

Important:

  • Must match your Square account currency.

  • Cannot be changed after transactions occur.

Allow Public Sign Ups

What it is: Controls whether customers can purchase this punch pass on their own during checkout.

Options:

  • Yes – The punch pass is visible and available for customer self-purchase.

  • No – The punch pass is internal only.

Important details:

  • If allow public signups is true and the punch pass is attached to a rate or lesson, there will be a Buy Credits button next to the rate/lesson in the checkout screen.

  • If allow public signups is true and if the punch pass is not attached to a rate, customers will not see the Buy Credits button at all, so there is no risk of self-purchase.

  • If a customer originally purchased the punch pass when it was public, and you later switch it to internal, they will not be able to purchase more credits themselves once their credits are exhausted.

Allow Gift Card Payments

What it is: Allows gift cards to be used to purchase the punch pass.

Important:

  • Gift cards apply to the upfront purchase price.

  • There is no recurring billing for punch passes.

Price

What it is: The upfront amount the customer pays for the punch pass. Always link this to an item you created in square.

Important:

  • Customers are charged once at purchase.

  • This price covers all included credits.

  • (e.g., $100 upfront in exchange for $120 worth of credits).

Slashed Price

What it is: An optional “compare at” price for marketing purposes.

Example:

  • $600 slashed to $510

Note:

  • The slashed price is visual only.

  • Customers are charged the main price.

Credit Plan / Hour Restrictions

What it is: Defines how many credits the punch pass includes and how they can be used.

Examples:

  • 10 total hours

  • Credits usable only during public hours

  • Restrictions to manage peak vs off-peak usage

Important:

  • Credits are not automatically deducted.

  • During checkout, the customer must explicitly select to use punch pass credits.

  • The rate this punch pass is attached to must have Allow credits set to true.

  • If credits are not selected, the reservation will proceed using standard payment instead.

Limit Active Reservations

What it is: Limits how many future reservations a customer can hold using the punch pass.

Use this to:

  • Prevent a single customer from booking too far ahead

  • Ensure fair access for all customers

Terms & Conditions Name

What it is: The label shown to customers for your punch pass terms.

Example:

  • “Punch Pass Terms & Conditions”

Terms & Conditions Link

What it is: A URL linking to your full punch pass terms.

Best practice:

  • Clearly define expiration rules, refund policy, and usage limits.

Enrollment Dates

What it is: Controls when the punch pass is available for purchase.

Use cases:

  • Seasonal punch passes

  • Limited‑time promotions

How Credits Work

  • Credits are manually selected by the customer during checkout.

  • Credits are only deducted if the customer chooses to apply them.

  • When the credit balance reaches zero, more credits will need to be purchased.

  • Customers can purchase more credits on the same punch pass at any time to add more credits.

Final Notes

  • Punch passes never auto‑renew.

  • There are no recurring charges.

  • Customers are always charged upfront.

  • Test a punch pass internally before making it public.
